Alephya Education is seeking a dedicated founding Registrar / Parent Relations Executive (PRE) to join our new school based in Riyadh, Kingdom of Saudi Arabia, Futuristic Learning Schools: (https://futuristicschool.com/)
In this pivotal role, you will be instrumental in upholding the standards and excellence of our School, ensuring a seamless and ethical admissions process that aligns with our commitment to excellence.
Your responsibilities will encompass managing the entire admissions journey, from generating leads, initial inquiry through to enrolment. While fostering positive relationships with prospective families and enhancing the experience for current students and their families. This includes providing clear guidance on admissions procedures, curriculum offerings, and fee structures, as well as coordinating assessments and ensuring compliance with relevant regulations. Success in this role requires a dynamic individual who is committed to delivering exceptional service,building lasting connections within the school community, and adhering to the school’s policies and conduct standards.
Responsibilities:
- Serve as the primary point of contact for prospective parents, providing comprehensive information on registration procedures, curriculum offerings, fee structures, and compliance with regulatory bodies.
- Manage the entire admissions journey, from verifying leads, qualifying inquiry to final enrolment, ensuring a seamless and efficient experience for prospective families.
- Conduct informative school tours, showcasing the school’s facilities and fostering a welcoming environment.
- Maintain accurate and up-to-date records of applications, enrolments, and registrations, ensuring data integrity and accessibility.
- Utilize the student information system to manage student registrations, withdrawals, transfers, and transitions, ensuring accurate and timely updates.
- Collaborate with the academic team to organize and oversee student assessments as part of the enrolment process.
- Inform applicants of admission decisions, providing timely notifications of acceptance or rejection.
- Ensure compliance with data privacy and confidentiality policies in maintaining student records.
- Develop and maintain strong relationships with the student affairs department, ensuring alignment with regulatory requirements and School standards.
- Collaborate with various departments such as academics, operations, and finance to enhance and simplify the admissions procedures.
- Work with the Marketing team to identify strategies for attracting new enrolments and student retention.
- Develop and maintain strong partnerships with feeder nurseries and schools to facilitate smooth transitions and increase enrolment opportunities.
- Represent the ethos and standard of excellence of Alephya Education to all prospective parents.
- Provide regular updates to the Senior Leadership Team on enrolment statistics and trends, contributing to strategic planning and decision-making.
- Provide weekly and monthly reports and projections on enrolments.
- Attend SLT meetings when required to update on enrolments at the school.
- Keep up to date with the rules and regulations relating to registrations and ensure compliance during the enrolment and registration process.
- Ensure that the policies, procedures, and codes of conduct are always followed, upholding the school’s standards of excellence.
- Organize and attend enrolment events, networking opportunities, and promotional activities to enhance the school’s visibility and attract prospective families.
- Coordinate playdates, assessments, and interviews, ensuring that designated areas are appealing, organized, and inviting for both students and parents.
- Review and evaluate scholarship applications based on specified criteria, manage scholarship listings, and ensure the database is up to date.
- Maintain students’ documents management system for both new and existing students, ensuring compliance with data privacy and confidentiality policies.
- Work collaboratively with the wider team to provide support and cover when required, ensuring the smooth operation of the admissions office.
- Perform other duties as requested by direct and dotted line reporting managers/supervisors in a timely manner.
- Uphold strict punctuality standards and consistently attend work during core hours, addressing admissions queries promptly and politely, and maintaining an elevated level of professionalism when interacting with parents, students, and faculty.

- Knowledge of educational systems and schools’ policies.
- Understanding preventive measures for safeguarding.
Qualifications
- Bachelor’s degree in education, business administration, communication, or a related area.
Experience and skills:
- A minimum of two years’ experience in admissions and customer service role in the education field in the GCC.
- Previous experience in Schools data management (MIS) and CRM systems.
- Fluent in English with strong written and oral communications skills.
- Native Arabic speakers are preferable.
- Strong interpersonal skills to aid in daily contact with parents in a diverse multi-cultural environment.
- Excellent office management skills.
