School HR Assistant

Scope and Functions of the Role

The School HR Assistant provides administrative and transactional support across all stages of the employee lifecycle, from recruitment to exit. Working closely with the School HR Operations Manager, this role helps ensure accurate records, timely documentation, and a smooth delivery of HR services in alignment with internal policies and regulatory requirements. It is a vital support role in sustaining a professional and responsive HR environment at the school level.

Key Responsibilities

  • HR Administration and Record Management:

Maintain accurate and up-to-date digital and physical employee files. Assist in preparing contracts, letters, and standard HR documentation.

  • Recruitment and Onboarding Support:

Coordinate interview logistics and support documentation for safer recruitment. Assist with onboarding checklists, forms, and induction packs.

  • End-to-End Lifecycle Support:

Support the School HR Operations Manager in executing administrative processes across the entire employee journey, including new hire mobilisation, probation documentation, leave tracking, and exit procedures.

  • Leave and Attendance Tracking:

Maintain updated leave and attendance records, file supporting documentation, and provide basic leave summaries upon request.

  • Government Relations Support:

Provide the necessary documents to the Government Relations Officer for visa, licensing, and regulatory compliance.

  • General HR Office Support:

Respond to routine staff queries related to policies, forms, and documents, escalating complex issues appropriately. Maintain HR supplies and organise physical HR materials as needed.

What We Are Looking For

  • Educational Requirements: Diploma or bachelor’s degree in Business Administration, HR, or related field.
  • Experience: 1–2 years of administrative or HR support experience, preferably in a school or service-focused environment.
  • System Proficiency: Experience with HRIS platforms and digital document management.
  • Communication Skills: Excellent business communication skills, written and spoken. Arabic language skills are preferred but not essential.

Skills & Competencies

  • Strong attention to detail and excellent organisational skills.
  • Good communication and interpersonal skills, with a professional and service-focused approach.
  • Proficiency in Microsoft Office (Word, Excel, Outlook); familiarity with HR systems is advantageous.
  • Ability to manage recurring administrative tasks efficiently and reliably.
